How to organize an Event:
The possibilities are unlimited! The information to help you with this "Singing out for Food" event to help our hungry people has been provided with easy step by step directions. Through my experience I have found these steps have worked the best.
The steps to do:
- Find a place to hold an event
- Find the entertainment
- Decide on a time to have the event
- Find a food agency/recipient
- Advertise and promote the event
1). Find a place to hold your event-
Examples: Your gig, a night club, concert hall, park, coffee house, community center, church, school, have a house concert at your home, etc...
Communicating with the owner, or manager, or etc… is a good idea. To get their attention, you need their attention. As a suggestion you might tell them you would like to sit down and talk with them for a few minutes with out any interruptions. Let them know that you will be singing out to help in replenishing one of your communities food banks/ pantries/or soup kitchens as part of the National Awareness event, "Singing Out For Food" to feed our hungry people.
2). Find the entertainment-
Examples: Musical groups, rock, blues, folk artists, etc...
If you are having more than one performer/group, some artists are willing to share for the entire duration of the event the use of their equipment, P A system, microphones and stands (which is called a sound system and/or front line), monitors, and a sound man, drums, guitar and bass amps (which is called a back line), for the other performers/groups to use as well. This will allow more time for the music and less time for the setting up and breaking down of equipment.
3). Decide on a time to have the event-
If you have more than 1 performer/group, make a schedule to let the performers/groups know when they will be performing. Their fans like to know as well. (To make a schedule, first ask how much time each performer/group will need to set up and break down their equipment. With this information you can plan their performance times and schedule accordingly)
4). Find a food agency/recipient-
Example: America's Second Harvest Food Banks, a local food pantry, or soup kitchen...
Definition- The recipient is the agency that will receive the donations, canned/non-perishable food goods. They must be a 501c3 non-profit agency that serves by feeding the hungry in your community. The agency that you choose is who you will be helping "Singing Out For Food".
If you don't know of a food agency/recipient, you can call your city or town hall, they will have that information. You can also look in your phone book, or on your computer. Some Churches have pantries, and soup kitchens, too. This is an opportunity for them to voice their needs. Ask them what they would be able to do to help you help them.
5). Advertise and promote the event-
This is very important! Hey, if no one knows about the event, no one will come and help support it.
On this site you will find a Press release and a Poster. You can make them your own by filling in the blank areas with your information.
Press release-
Public Service Announcements (PSA's) are free and are offered through the media - (local newspapers, TV, and radio).
1). Contact the person in charge (editor, program director, etc…) inform them of the event, and ask them to refer you to someone who can help in getting the awareness and information out. When you contact them remember, IF YOU DON'T ASK YOU DON'T GET!
2). Tell them, you need their HELP.
3). Ask the news papers to do an article, the radio stations to do an interview, and the TV stations to film some of it (cable TV stations might have someone that would be interested in filming it for a cable TV program).
